Terms & Conditions

The RTSA STORE 2025 Scandinavian Tour is managed by Allnation Pty Ltd as trustee for the Globe Trotter Unit Trust ABN 14 696 004 042 of 35 Stirling Highway, Nedlands WA 6009, Australia, trading as The Incentive Lab.

Inclusions

STORE 2025 includes:*

  • 8 nights single room hotel accommodation
  • Daily breakfast at each hotel
  • 5 hosted dinners, including 3-course menus with drinks
  • Daily exclusive site visits to leading railway technology hubs and facilities
  • Meet & greets with industry experts throughout the tour
  • All on-tour transportation, including domestic flights and high-speed rail tickets where applicable

*International airfares to and from Scandinavia are not included.
**All other meals and personal expenses are at your own cost.
***Pricing is based on a minimum of 15 guests. Should this number change, pricing may be subject to adjustment.

Tour Attendance Fee

A special price is applied to RTSA members.

  • RTSA Members Fee: $9,675 ex GST AUD
  • Non-RTSA Members Fee: $9,999 ex GST AUD

Deposit Schedule

  • A first deposit of $2,500 per person at the time of booking
  • A further payment of $7,499.00 per person due 90 days prior to departure

Full payment is required at the time of booking for reservations made less than 120 days before departure. If The Incentive Lab is unable to confirm your reservation, all deposit monies received will be refunded.

Tour Capacity

The tour has a maximum capacity of 20 guests. Once filled, interested parties may join a waiting list.

Booking Conditions

By booking your tour and paying the deposit, you agree to these terms and conditions. The Incentive Lab may modify these conditions without prior notice, provided that any substantial changes affecting your rights will be communicated as soon as possible.

1. Booking Your Tour

  • Tour Price: Prices are in Australian dollars and correct at the time of printing. Prices may be adjusted due to currency fluctuations, supplier costs, or government-imposed charges.
  • Special Requests: Requests for dietary needs, room preferences, or seating arrangements must be made at booking and are subject to availability.
  • Credit Card Surcharge: Payments made by credit card may be subject to additional fees.

2. Travel Documents

  • Passports & Visas: A valid passport with at least 6 months validity from the final date of travel is required. Any necessary visas are the responsibility of the traveller.
  • Travel Insurance: Comprehensive travel insurance is mandatory. A copy of your insurance policy must be provided before departure.
  • Final Documents: Detailed itineraries will be issued one week prior to departure.

3. If You Cancel or Change Your Booking

  • Cancellations: Must be received in writing. Refunds will be processed according to the cancellation schedule above.
  • Changes: Modifications after deposit payment may incur administrative fees and additional costs.

4. If Engineering Australia Cancels or Changes the Tour

  • We reserve the right to alter or cancel the itinerary due to unforeseen circumstances, such as weather, political events, or supplier changes.
  • If the tour is cancelled due to force majeure (e.g., natural disasters, war, pandemics), refunds may not apply.
  • A minimum of 15 guests is required for the tour to proceed. If this is not met, all payments will be refunded.

5. Health & Medical Requirements

  • A good level of fitness is required. The tour involves walking, stairs, and boarding various transportation methods.
  • You must disclose any medical conditions that could impact your participation.

6. Limitation of Liability

  • The Incentive Lab is not liable for independent suppliers, travel delays, loss of belongings, or personal injury.
  • We recommend travel insurance to cover cancellations, medical emergencies, and lost items.

7. General Conditions

  • Smoking: Permitted only in designated areas.
  • Photography & Media: The Incentive Lab & Engineering Australia may capture photos or videos for promotional use. If you do not wish to appear in these, please notify us in writing.
  • Personal Expenses: Any purchases made during the tour are your responsibility, including excess luggage fees.
  • Complaints: Should any issues arise, please notify the tour manager during the tour. Written complaints must be submitted within 30 days after the tour ends.

These Terms and Conditions apply to the STORE 2025 Scandinavian Tour.
Publication valid from 1 April 2025 and supersedes all previous versions.
Governing Law: These conditions are governed by the laws of Victoria, Australia. Any disputes will be subject to the jurisdiction of Victorian courts.
